We're Hiring: Head of Operations

We need a dynamic, enthusiastic Head Of Operations to help deliver on a packed plan of activity and ensure operational excellence.

We represent, champion and support around 250 companies, ranging from consumer magazine publishers to business-to-business data and information providers, both scaled businesses and niche independents.

Whether on the page, online, or face-to-face, our members create professional, inspirational, and influential media content that engages and influences audiences.

We are recruiting! We need a dynamic, enthusiastic Head Of Operations to help deliver on a packed plan of activity and ensure operational excellence. The primary function of this role is to drive efficiencies and performance across the PPA, helping improve the service we provide members ensuring they remain at the core of our organisation. Responsibilities include, but are not limited to:

HR and personnel management:

• drafting employment contracts and new starter paperwork

• redrafting of staff policies (with assistance from outsourced legal team)

• management of payroll liaising with bureau

• first point of contact for consultant arrangements/contracts across the business

Finance responsibilities including:

• processing and approving invoices/payments across the business

• relationship management with key suppliers, including property, IT, and finance; negotiating favourable terms and identifying areas for cost savings

• management of office lease arrangements and other hire and maintenance contracts

• development and control of operations and facilities budget

• management of annual audit process

• management of employee expense claims

• liaison with insurers on renewal of policies across the business

Person specification

• At least three years’ experience in a similar role

• Experience in our sector an advantage, with a knowledge of magazine publishing and/or business media (or the ability to pick up key information quickly), and a love of all forms of publishing vital

• Enthusiastic, start-up mentality – self-motivated, adaptable, and flexible

• High-quality written and oral communication

• Diplomatic and persuasive approach; safe pair of hands in answering enquiries

• Excellent administrative and time management skills; highly organised and efficient with a meticulous approach to detail

• Sensible and pragmatic, with a positive and adaptable approach to problem-solving, together with a sound use of individual initiative

• High sense of personal responsibility

• Able to establish productive relationships with people at all levels, including top-level executives

• Team player attuned to PPA culture and values
